A: Yes, the Academy in planning a live, in person meeting in Boston, November 3-6, 2021

Q: What measures has the Academy taken to safely hold Academy 2021 Boston in-light of the 2020 pandemic?

A: While we are focused on bringing the profession together again, our top priority is the health and safety for everyone who plans to participate in Academy 2021 Boston.  We’ve been monitoring the COVID-19 situation as it continues to evolve and are working closely with our Massachusetts partners to follow guidelines for minimizing risk and ensuring the optometric community is able to meet safely. Q: Where is Academy 2021 Boston taking place?

A: Boston Convention & Exhibition Center (BCEC), 415 Summer St, Boston, MA 02210

Q: What are the deadlines for registration and payment?

A: The deadline for registering as an exhibitor is September 30, 2021. Payment is due in full upon receipt of contract and is non-refundable after July 15, 2021. The deadline for inclusion in the show program is May 30, 2021. We strongly advise registering well before this deadline to maximize your Academy 2021 Boston exhibiting experience. Q: How do I access the online floorplan and application portal?

A: Click here for the live floorplan and exhibitor portal. 

Q: When will the Exhibitor Service Manual be available and how will it be sent?

A: A comprehensive service manual, including all order forms for labor and services will be available online to all exhibiting companies in July 2021.

Q: Can I invite prospects and clients to my booth space at Academy 2021 Boston?

A: Yes. Please contact sales@aaoptom.org to obtain an Exhibit Hall VIP Pass for you to distribute to your prospects and clients.

Q: Is lead retrieval provided?

A: Yes. You can order this service from ATS, our onsite registration company. This can be done through the Exhibitor Portal.

Q: Who is the official General Services Contractor?

A: Fern Expositions is the official contractor for all exhibitor-related services.  Exhibitor Services can be reached at 800.774.1251 or via email.

Q: What is the show cancellation policy for Academy 2021 Boston?

A:

  • Companies canceling their exhibit space on or before March 31, 2021, receive a refund of all payments made to date less a 25% nonrefundable deposit.
  • Companies canceling their exhibit space on or after April 1, 2021, and before July 15, 2021, receive a refund of all payments made to date, less a 25% penalty and the 25% non-refundable deposit.
  • Companies canceling their exhibit space on or after July 15, 2021, receive no refunds.

Please see additional details in the Rules and Regulations section of the prospectus.  Should Academy 2021 Boston be canceled by the Academy, exhibitors will be entitled to a full refund.

Q: What is the American Academy of Optometry Foundation? Are there support opportunities available for our company?

A: The American Academy of Optometry Foundation (AAOF) is the 501(c)(3) philanthropic arm of the American Academy of Optometry (AAO) and was founded in 1947 for the “upholding, broadening, fostering, promoting and aiding of optometric education; the profession of optometry and its practitioners.” The organization provides financial support for optometric research and vision and eye health education to improve patient clinical care. Q: Is there In Conjunction With (ICW) or Affiliate space meeting space available?

A: Yes, if your company, institution, or organization is interested in holding a meeting, reception, or other “In Conjunction With” (ICW) event at Academy 2021 Boston, we request that you review and share our updated policies in our Affiliate In Conjunction With (ICW) Policy Guide.

Q: Who is the official housing provider?

A: Orchid Events is the only official housing provider for Academy 2021 Boston. The Academy cannot guarantee room rates or availability by any other company or representative. Hotel reservations made through any company other than our official partner Orchid are at the exclusive risk of the individual and cannot be guaranteed by the Academy.  For the official list of Academy Contracted Hotels, click here.

Q: When does housing open?

A. Housing will open on June 1, 2021.

WARNING! ATTENDEE LIST SCAMS

The only official attendee registration lists will be provided directly from the Academy as one of the exhibitor benefits of Academy 2021 Boston. If you are targeted by outside companies, they are fake data lists and not the actual Academy 2021 Boston lists. Please do not purchase or provide any payment information for this fraudulent information.

BEWARE OF UNAUTHORIZED HOUSING SOLICITATIONS

If you are contracted about booking rooms by a company other than Orchid, please contact us immediately. Unauthorized housing providers for Academy include (but are not limited to):

  • Corporate Booking Services (CBS)
  • Global Housing Services, Corp.
  • Pro Housing Corp.
  • Reservations Allcbc
  • VIP Destination Management (VIP DMC)
  • Wholesale Room Rates

Orchid will work closely with the Academy to prevent unauthorized solicitations of our exhibitors and attendees and will pursue these poachers to prevent future contact. A “poacher” is defined as a hotel or third-party hotel agency that is unaffiliated with the event yet solicits business from known or potential event participants.

Why is this a problem? These bureaus offer nonexistent rooms or false pricing that can cost attendees hundreds of dollars.  Please email us at exhibits@aaoptom.org if you receive a solicitation.
